Job description, responsibilities and duties

Purpose

Performs a wide range of administrative and general support duties of a highly responsible and confidential nature. Frequently communicates with senior level internal and external contacts and is regularly exposed to confidential data. Has a thorough knowledge of the principal's accountabilities and method of operation and a high level of tact and integrity due to the sensitive nature of information. Works independently with only general guidance on a variety of special projects. Typically reports to the Managing Director.

Key accountabilities

• Communicates and coordinates principal's instructions and desires with various individuals and departments.
• Frequently communicates with senior level internal /Board of Directors/ and external contacts and is regularly exposed to confidential data.
• Furnishes and obtains information from other principals or outside representatives.
• Receives and screens telephone calls, letters and visitors, answers routine questions and obtains and furnishes information to save supervisor's time.
• Schedules appointments, arranges meetings, conferences, workshops and business trips.
• Organizes and maintains principal's correspondence and records, follows up on pending matters with limited direction.
• Drafts correspondence for principal's final approval.
• Prepares special reports, gathers, summarizes, and analyzes data.
• Organizes and prepares complex documents requiring the integration of multiple office technology and software applications. May act as an office resource for word processing and spreadsheet application.
• Organizes and expedites flow of work through supervisor's office and initiates any follow-up action.
• May oversee work of others.
• Provides support to internal and external visitors.
• Prepares agenda for the meetings, gathers documents, taking notes at the meetings and process the the notes for further actions.

Wage (gross)

1 100 EUR/monthFinal salary is negotiable. We are offering base salary depending on seniority level and previous experience of candidate. In addition to base salary we provide variable part and other financial benefits. Base salary will not be lower than 1100 € /brutto.
